The Challenge

Doosan, a multinational conglomerate, is one of the first major corporations in Korea that leveraged a cloud Human Experience Management (HXM) solution - SAP SuccessFactors. By using SAP SuccessFactors, Doosan wanted to create a new employee experience that provides a delightful digital workplace.

1. A new employees experience that helps employees to be more engaged and informed.
2. Delightful experience that helps employees to process their work quickly.

The Solution

In a partnership with SAP and Microsoft, the continuous performance management functionality of SAP SuccessFactors is integrated with Microsoft Teams through the capabilities of SAP Business Technology Platform.

The new digital experience supports customers to increase motivation and productivity by helping them to give and request feedback in a convenient and timely manner.

Context

Why did we start this project?

Doosan is currently using a cloud Human Experience Management solutions - Microsoft Teams and SAP SuccessFactors.

To take their employee experience to the next level, Doosan began a new initiative called 'Doosan Digital Lean'. The new initiative focuses on creating a new employee experience that provides a delightful digital workplace.

Complex Stakeholders

Due to the nature of the project involving three companies, the project presented complex stakeholders which required clear and transparent project management.

Process

Cross-functional Collaboration

During the project, we collaborated and communicated with a broad array of teams: 50+ people from 10+ teams engaged and collaborated joining from 4 different time zones.

Among the cross functional collaboration, it was pivotal to closely work with project managers and designers from SuccessFactors team to ensure app development guidelines.

Defining Problem

Business Requirements

We envisioned the end goal of this project through Design Thinking workshop guided by the SAP designers. Customers deep dived into the values that can both benefit the employees and company. Using various imagination tools such as value keywords, storyboards, participants were able to think ahead of the solution and project.

Our users

We identified our users and listed out their primary goal, usual behaviour/tasks and most importantly their needs that helped us to align on who we are designing for and whose needs we need to address

End-to-End User Journey

After creating personas, we designed the end-to-end user journeys. Beginning from the first step - accessing portal and system registry - to manager's approval and review. We focused on the emotions, devices being used, pain points and opportunities as well as their needs and then came up with 2 design challenges.

User flow

Looking at the user flow, there were too many repetitive steps that needs more seamless collaboration between Teams and CPM.

Storyboard

To give a clear idea of what the integrated solution would look like and receive feedback, I visualized a storyboard to communicate with stakeholders and end-user employees.

Collaborate effortlessly

Using both Teams UI kit and SAP Fiori UI templates, we created the feedback application for Teams that follows the Teams and Fiori guidelines.

While project is going on, you can conveniently give/request feedback for your project members through a quick click from MS Teams integration with SAP SuccessFactors
Scenario 2. Give/Receive Feedback from Chat
After finishing presentation, you can conveniently write feedback for your colleagues. An easy and quick click from MS Teams integrated with SAP SuccessFactors Continuous Feedback Management model to give/request feedback to your colleagues and manager.
Scenario 3. Give/Receive Feedback
By integrating with Teams, you can receive any updates in your SuccessFactors through a Teams notifications and can have much easier access to SuccessFactors

Project Outcome

CES 2022

The final output of the digital workplace solutions with the collaboration of SAP SuccessFactors and MS Teams was showcased at the CES 2022.

SAP joined Doosan in a panel discussion where they talked about the process of building the "Delightful Digital Workplace". I helped to plan for the panel discussion script, create advertisement video.

Design to Development

Collaborated closely with engineers to deliver design guidelines, interactive elements, documentation creation and usability test for design handoff to development.

💬 Learnings & Reflections


01 / Effective communications and clarity in role & responsibility were pivotal

Because this project was complex in terms of multiple stakeholders, interests of involved teams, setting the right scope, expectation through effective communication and focusing on clarifying the role & responsibility was pivotal to not to get lost during the project.

02 / Additional user interviews and As-Is analysis

We would have done more interviews with employees from other organizations, collect more insights and analyze As-Is situation to validate that our design meets needs of Doosan employees.

03 / Tapping into cultural aspects

By focusing on the cultural transformation and its value, we were able to not to just focus on the functions and feasibility of the solution and come up with a solution that brings bigger impact to the organization.
